Instructions for submitters
The online submission process consists of four steps. The final step will allow you to review the details you have entered before making your submission.
You can complete a submission by either selecting the submit link in the left hand menu bar within the Knowledge Exchange or by selecting ‘submit' from the link at the top of the page within the database section.
Please note all mandatory fields are marked with an asterisk (*).
The fields in orange will be publically available on this website.

Login
If you are a first time submitter you will need to sign up to create an account by clicking ‘submit research' in the 'sign up' area on the left (see image below). Please note - you cannot create an account without submitting at least one piece of research.
If you have already submitted a project to the database before you can login using the email and password you created with your first submission in the area on the right (see image above). If you have forgotten your password select the ‘forgotten password' link.
Step one - details
When creating a new login you will need to fill out all details. If you have submitted to the database before you will have your login account details saved from your previous submission.
Login account details
Enter your email address, create a password and enter your name and telephone number.
Title and author
Enter the name of your research project and the investigator(s)/author(s).
Principal contact
Who should be contacted to answer questions? The principal contact can be different from the submitter (login account holder) details you have entered above. If not, then there is a tick box option to copy the details to this section.
We also gather some details about your organisation, including the region - this is the location where the research is generated or the research centre is located, not where the research population resides. The options are as follows.
- Northern (Northland, Waitemata, Auckland and Counties Manukau DHB regions).
- Central (Whanganui, MidCentral, Hawke's Bay, Capital and Coast, Hutt Valley and Wairarapa DHB regions).
- Midland (Taranaki, Waikato, Lakes, Bay of Plenty and Tairawhiti DHB regions).
- Southern (South Island DHB regions).
- National.
Please note - to foster connections in the research community we will publish the principal contact's email address online so that people may contact them about the work. If you do not want the email address published please ensure you place a tick in the tick box to prevent it from being publically available.
Project details
Here we collect the following details about your project.
- Did this project receive ethics approval? Select yes, no or pending.
- Is this project academic led? Select yes or no.
If you answer yes you will be asked if it is part of a thesis? Select yes or no. - Is this project service led? Select yes or no.
- Status - ongoing or completed? Enter the date using the calendar.
- How were service users involved in the project? Use the dropdown box to select options, then click ‘add' after each selection.

- Have results been published in a peer reviewed journal? Select yes, no or pending.
Step two - your research
In step two we ask you to write about your research project.
Abstract
In the text boxes enter details for the following items.
- Summary - briefly describe the project. This will appear when searching or browsing the database and is limited to 60 words.
- Objectives - what specific question or hypotheses did the study seek to answer?
- Study design - describe the study method. Here you should detail your research design, setting, measures and procedure used. Include key participant characteristics such as number, age, sex, sample selection method.
- Methods - use the dropdown list to select all items that apply to your study and click ‘add'. Methods include options such as survey, qualitative research, evaluation, longitudinal study, etc.
Results and conclusions fields are compulsory for complete research projects.
- Results - summarise key results and analyses.
- Conclusions - describe the main implications, applications and/or the significance of the results.
Key descriptors
For each of the following descriptors please choose all the option(s) that best describe your research project. To add a descriptor select it from the dropdown box then press the green 'add' button. You can add multiple descriptors for each category. Please note - these descriptors help your research project to be found when people are searching the database.
- Key descriptors.
- Disciplines.
- Settings.
- Diagnostic categories.
- Gender specific.
- Ethnic or migrant or refugee specific.
- Other keywords (free text field).
Step three - supporting information
In step three you can upload files that are related to your research, such as publications or presentations. You can also enter links to websites that contain more information about your project.
Please note - to upload a file you must read and agree to the terms of the publication agreement and place a tick in the tick box to confirm that you understand.
Upload files
Click browse to locate the file on your computer, then enter a title for the file in the box below. The file will be uploaded once you click submit. If you would like to upload more than one file please click ‘upload another file'.
Add links
Write (or copy and paste) the web page address into the box. Include a name or brief description of what can be found on this web page. If you would like to add more than one link click ‘add another link'.
Step four - review submission
On this screen you will be able to see everything you have entered so far. If you would like to amend your submission you can go back and make changes using the ‘previous' buttons.
You can print this review page for your records if you wish. A copy of these details will be sent to the email address you entered as your login as confirmation of your submission.
